Your Job Purpose. Working with the LotusWorks team as a Calibration Co-ordinator, you will be responsible for the scheduling and co-ordination of all Third Party calibration supplier, logistical and supply chain activities in accordance with the LotusWorks procedures for dealing with Third Party Calibrations. Your Responsibility. Liaise with Site Lead to determine the scheduling and co-ordination of subcontracted calibration requirements both on and off site. Ensure that all Third Party Suppliers/Vendors are approved on the LotusWorks Approved Supplier List (ASL. Communicate with Site Lead to advise of delivery dates / times including unexpected delays or issues. Co-ordinating third Party vendors on site ensuring compliance with PPE and work permit requirements. Oversee logistics to support delivery of the equipment. Complete and review associated documentation regarding Third Party Suppliers. Conduct visual inspections of returned equipment for damage and notify any incidents to the Site Lead immediately. Review and approve third Party calibration certification and documentation reporting any discrepancies or errors to the Site Lead. For any third party items, review pricing against quoted price and complete any associated Purchase Requisition’s. Perform all third Party transaction through the MMS/Compucal. Liaise closely with EHSQ ensuring supplier management standards are adhered to. Maintain all documentation in an organised and controlled manner in compliance with Client requirements. Keep effective interaction with the LotusWorks Finance Department and the central purchasing function. Utilise the internal systems including the LotusWorks on-line tracker application for scheduling and documenting the performance of third Party calibration service providers. Perform assigned Calibration activities such as Calipers, Micrometers and Gauge Pins as defined by the SOP. Ensure stock levels of all spare parts are kept to specified quantities. Contribute to the Supplier review process. Carry out proactive work to assist in enhancing the service / experience for the Client. Build strong relationships with other partner functions within the organisation. Liaise with internal and external sources and handle all customer enquiries and correspondence. Ensure service issues do not arise by clarifying client requests, managing expectations, by determining the cause, seeking solutions and escalating appropriately through the LotusWorks Quality Management System. Perform general support administration to the on-site team including the processing of all site based calibration documents. Ensure that Calibration Laboratory and work place is neat and tidy at all times. Be actively involved in Product Improvement Processes to reduce cost. Contribute as appropriate to Supplier related quality issues including Customer Complaints, CAPA and Audits. Audit preparation and assisting the internal auditing process onsite. Requirements. Logistics, Supply Chain and/or Technical qualification. Quality Assurance documentation and procedure experience. Strong supply chain coordination experience. Focussed and dedicated to Learning and Development. A good knowledge of a MMS or ERP System. Literacy in Computer Operating Systems and applications such as Microsoft Windows, Word, Excel, and PowerPoint etc. Possess excellent Communication / Documentation and Interpersonal skills.
