LEGAL PERSONAL ASSISTANT (MATERNITY CONTRACT. Our client has an opportunity for a Personal Assistant to the Company’s Solicitor. RESPONSIBLE FOR: Contracts Management: Interface with business managers to gather information, documentation and key terms as required for contracts and contract renewals. Follow-up on outstanding issues to bring draft contracts to a conclusion. Typing Contracts including mark-up and comparison versions and detailed contract reviews. Critical Date Management: Monitor and diary critical dates for contracts and Litigation. Legal Database and Reports: Assume responsibility for maintaining Legal databases including contracts and litigation. Run and maintain Reports including CEO Reports on on-going Legal matters. Litigation Support: Assist in managing litigation files including gathering reports, collating relevant documentation making arrangements pre-trial and liaising with P.I.A.B., external Counsel and Insurers. Actions-Management: Follow up on all outstanding emails within DG divisions and externally to ensure timely responses and progression of legal matters. Office Administration and Management: Manage in-house Solicitor’s office including diary, meetings and filing. Fees Database: Code and record all legal invoices and maintain secondary fees database to enable cost measuring & reporting as required. Property: Liaise with the Property Department and external Property lawyers in respect of on-going property transactions. Representative : Capability to represent the Solicitors office in the absence of Company Solicitor and to deal with external Law firms. Insurance Claims: Manage the administration of claims. REQUIREMENTS: 5 years plus experience working as a PA or Legal Executive in a busy office environment. Strict confidentiality within the role. Excellent organisational skills. Pro-active with strong ability to work on own initiative. Great attention to detail. A strong communicator with good interpersonal skills. Excellent IT skills in particular Word. Keen interest in legal matters. Must be approachable and professional at all times appreciating the confidential nature of the role. Ability to work well under pressure and prioritise key tasks. Must be reliable and takes pride in their work. Team player. Resilient. Customer focus. Ability to interact with external Lawyers in a professional and efficient manner.
